See what is due, check it, sign it — and the status sits on the result
One overview shows calibration status, qualification and open signatures across every instrument. At the bench the QR code is enough: see the state, measure, report a fault. And when a result is released, it carries the instrument it was measured on and its calibration validity — not just an entry in a list.

What the equipment module does
Equipment file with components
Master data, location, manufacturer, inventory number, manuals and documents — plus components such as column, detector or pump with their own maintenance scope.
Calibration with due date and signature
Attach the calibration certificate, record result and tolerance, sign electronically — the next due date follows from the interval.
Qualification IQ/OQ/PQ
Installation, operational and performance qualification per instrument, with validity, an attached report and requalification.
Due dates across every instrument
One list shows valid, due and overdue, plus IQ/OQ/PQ per instrument and how many records still await a signature.
Maintenance and service providers
Maintenance plan with interval, maintenance report with attachments — plus a link so the external service can add their report. Sign-off stays in house.
Faults as tickets
Report a fault, mark the instrument out of service; handling and return to service stay on the record as a trail.
QR label and scan at the bench
Print the label, scan it at the instrument: file, calibration status, last maintenance and fault reporting right on the phone.
Anomalies, checked daily
A nightly check compares the last 30 days with the period before and reports clustered faults, long downtime and overdue maintenance — with an action and a close-out.
Measurements, methods and QC
Measurements per instrument with method, sample, column and the raw data location; linked test methods and the QC results produced on this instrument.
Lifecycle, changes, references
Lifecycle from purchase to retirement, traceable changes to the file and every experiment and project the instrument was used in.
Cost and analysis
Calibration, maintenance and repair cost per instrument, plus analyses of faults, downtime and how well due dates are kept.
What the workflow looks like
- 1
Register the instrument
Capture master data, location, components, manuals and documents, print the QR label.
- 2
Keep due dates and records
Store calibration, qualification and maintenance intervals, attach certificates and reports, sign electronically.
- 3
Work at the bench
Scan the QR code, see the state, measure, report a fault when needed — everything lands on the same record.
- 4
Analyse and evidence
Work through anomalies, analyse cost and adherence to due dates, carry the instrument status onto the report.
Why LabNote.Light
- Instrument status is visible in the experiment, on the worklist and on the report, not only in the equipment list
- Calibration, qualification and maintenance history stays complete, attachments and signatures included
- Calibration, maintenance, faults and cost hang off the same record
- The system raises anomalies itself instead of hiding them in a spreadsheet
Frequently asked
Does the system remind us about calibrations?
Yes. The due-date overview shows valid, due and overdue across every instrument, and the instrument itself carries the status as a notice.
Can an instrument with an overdue calibration be blocked?
The instrument can be marked out of service; the status then appears everywhere the instrument shows up. Whether measuring is still allowed is your team's call — and the call stays documented.
Does the instrument status appear on the test report?
Yes. The result carries the instrument used and its calibration validity, so reviewing does not mean opening a second list.
Can external service providers add reports?
Yes, maintenance reports can be shared via a link and attached. Sign-off stays with your team.
Can components such as columns be maintained separately?
Yes. Components have their own file with their own maintenance scope and history, and stay visible on the parent instrument.
Can instruments be opened via QR code?
Yes. Each instrument has a QR label; the scan opens the file with status, last maintenance and the option to report a fault.
