Question 1

What is LabNote.Light?

Accepted Answer

LabNote.Light is a web-based laboratory platform. It connects an electronic lab journal, sample and equipment workflows, methods and QC, document control, audits, CAPA and SDS-linked safety documents. These areas can be introduced gradually while using shared records.

Question 2

Which laboratories is LabNote.Light designed for?

Accepted Answer

LabNote.Light is intended for research, development and testing laboratories that want to manage experiments and operational evidence in traceable workflows. During early access, we assess whether the available functions fit your quality and operating model.

Question 3

Does LabNote.Light support ISO/IEC 17025 or ISO 9001?

Accepted Answer

The software supports workflows including contract review, samples, methods, equipment, result review, document control, audits, CAPA and management review. It is neither accredited nor certified to these standards and does not establish conformity automatically.

Question 4

Does the assistant make technical decisions?

Accepted Answer

No. The optional assistant can summarise content or suggest text. Users review and apply outputs deliberately; approvals, signatures and technical decisions remain person-bound steps.

Question 5

Does LabNote.Light work offline?

Accepted Answer

Reading and editing require an internet connection. Offline synchronisation is not currently offered.

Question 6

How do I get access?

Accepted Answer

Access is currently provided through early access. After your request, we discuss the intended use and activate the organisation for the agreed scope. General release is planned for 2027.

Question 7

Can I already use LabNote.Light in production?

Accepted Answer

LabNote.Light is already being evaluated in laboratory workflows but remains under development. Features and screens may change. Production use therefore needs to be assessed with our team against your requirements first.

Question 8

How long does implementation take?

Accepted Answer

There is no standard duration. Scope, data quality, roles, approvals and existing systems determine the effort. During early access, we define the implementation around your processes rather than promise a fixed timeline.

Question 9

How do the plans differ?

Accepted Answer

The published feature set is the same in Self-Service, Essential and Priority. Plans differ in support, onboarding and storage: 50 GB, 250 GB or 1 TB per organisation. An SLA is agreed only for Priority and on request.

Question 10

How does billing work?

Accepted Answer

Prices start at €20 per user per month. A ten-user minimum applies and billing is annual in advance. Prices exclude VAT and are for business customers only. The current pricing page is authoritative.

Question 11

What support is included?

Accepted Answer

Self-Service includes the FAQ and knowledge base. Essential adds email support with a stated 48-hour response time, live chat for admins and a 30-minute onboarding call. Priority adds priority email with a 24-hour response time, live chat for all users, personal onboarding and training. An SLA is available on request.

Question 12

How much storage is included?

Accepted Answer

The allowance applies per organisation: 50 GB with Self-Service, 250 GB with Essential and 1 TB with Priority. Additional storage packages and current prices are listed on the pricing page.

Question 13

Where is data stored?

Accepted Answer

The database, authentication, files and server-side functions are provided through Supabase on AWS in Frankfurt. Other providers and possible international access are described in the privacy notice and DPA.

Question 14

How are access and changes traced?

Accepted Answer

Roles, capabilities and server-side access rules restrict access within an organisation. The audit trail records changes with the person, time and affected values. Its hash chain with external time anchoring is designed to detect later changes; it is not a blanket compliance guarantee.

Question 15

What type of electronic signature is used?

Accepted Answer

LabNote.Light uses simple electronic signatures with re-authentication, a timestamp, signature meaning and a snapshot of the signed content. Signed entries are locked; later additions are recorded as amendments. Your organisation must assess whether this is sufficient for the specific process.

Question 16

Is a Data Processing Agreement available?

Accepted Answer

Yes. The DPA under Article 28 GDPR is publicly available on the DPA page and forms part of the contract documents. The privacy notice and list of sub-processors are also publicly documented.

Question 17

Which personal data may we record?

Accepted Answer

The DPA and privacy notice apply to personal data. Under the published DPA, special categories of personal data under Article 9 GDPR are excluded unless a separate written agreement and additional measures are agreed in advance.

Question 18

Which data can be imported and exported?

Accepted Answer

Available imports depend on the workspace. For example, the equipment module supports CSV files, while sample intake accepts spreadsheet rows for review before saving. CSV, PDF or Markdown output is available for different record types. We define the specific migration scope before implementation.

Question 19

Which integrations are available?

Accepted Answer

Available options include a REST API using personal access tokens, webhooks with signed deliveries and a Düperthal Connect integration for the agreed cabinet and SDS scope. Scope, permissions and required endpoints are defined for each organisation.

Question 20

Are SSO or self-hosting available?

Accepted Answer

SSO is not a general self-service feature; availability depends on the identity provider and infrastructure plan and is assessed per deployment. Self-hosting is not currently offered as a product commitment.

Question 21

What happens when a team member leaves?

Accepted Answer

Administrators can deactivate a person's membership. Existing entries, signatures and logged changes remain assigned to the record. Privacy requests follow the deletion and anonymisation rules described in the DPA and privacy notice.
